So you might be wondering what “BETA” means….BETA in software lingo, means we have rolled out a new feature, but it’s not 100% complete.  The base functions are ready for public consumption, but we plan to work on this feature over the next few weeks.  Go ahead and use the new feature, but know that some things may change before the BETA label is removed.

Now that we have that out of the way, lets talk about “Week at a glance”.  The week at a glance feature was created to help you easily visualize holes in your schedule and see a graphical representation of any given week.  You will find the week dates across the top of the graph, with the times of day down the left hand side.  Your appointments appear as blocks of time (based on the service length) within each day’s column.  You will see the name of the client at the start of the appointment time as well.  You can find the new Week at a glance view by clicking the “Week at a glance” tab from the main scheduling screen.

As of right now, each time you click this tab, the calendar will refresh itself, and it will always start on the current day.  You can change which day the week view starts on by clicking in the “Select Start Date” box and selecting a new start date from the popup calendar.  You can also jump forward or backward a week by clicking the “Previous Week” and “Next Week” buttons found on the upper right hand side of the screen (see below):

Lastly, to help you see what time an appointment starts simply hover your mouse over the name of the client, and that row will highlight, showing you what time the appointment starts.  Notice the highlighted row turns a light red, and the start time of the appointment is highlighted on the far left hand side of the screen (see below):

Over the last few weeks we’ve launched a few upgrades to the Pencil’em Mobile platform.   We are always striving to make things easier when it comes to the mobile platform, and our new upgrades bring a whole new level of functionality to your hand held device.

Client List

We’ve changed the way the “Clients” button works to make it a little more user friendly.  Clicking the “Clients” button now displays your entire client list.  You can scroll through the list and click on a client who’s information you would like to see.  The new client screens look something like this:

New Scheduling Features

We’ve also made some changes to the way you interact with your schedules.  We’ve added a delete appointment function that you will find when viewing your daily schedule.  Click the “View Schedule” button and you will be taken to a screen with today’s appointments.  (You can select a different day by changing the options in the drop down menu at the top of the page and clicking “Go”.)  Notice, there is now a red x floating off to the right hand side of each appointment.  Clicking this X will bring up a confirmation screen, so you don’t accidently delete an appointment you didn’t mean to.   This looks like this:

New “Appointment Quickview”

We’ve added a new feature from the same “View Schedule” screen that gives you a more detailed look at any particular appointment.  To open the “Appointment Quickview” click on “View Schedule” in the main navigation.  Click (or press) on the client name and the “Appointment Quickview” will open.  This view gives you a more in-depth view of the appointment, service being performed, client information, and appointment notes you’ve left for yourself.  See below for more details:

Pencil’em Mobile was built for ease of use and portability of your schedule.  If you haven’t already, check it out!  If it’s your first time accessing Pencil’em Mobile on your mobile device, simply enter the web address below in your mobile web browser.

You will see a log in screen where you will enter your email and password.  Once logged in you will have full access to your schedule, client list,  and appointment creating functions.  Everything will be auto-synced to your desktop version, so any changes you make on your mobile device are available to you online as well.

Let me start this post off by saying I hope all of the Pencilem users had a safe and happy 4th of July! We hope your holiday was great!

Weve got a big update today that brings new functionality to the Pencilem Software. The biggest new feature to note here is the ability to book strongRecurring Appointments/strong. This is a HUGE time saver and lets you book your client appointments up to one year in advance! Weve also made some major improvements to the appointment notes system, as well as a new feature that will let you enter (or override) the price you are charging for a service. So, lets jump right in with our new Recurring Appointments feature!

Creating Recurring Appointments

When looking at the Main Scheduling Screen you will now see the Recurring Icon icon directly underneath the Select Date label. When filling out the scheduling form, simply click the Recurring Icon icon and a small window will open that will allow you to select the recurring frequency. This box looks like this:

After selecting the recurring frequency and clicking Create Recurring there will be a small note directly under the Recurring Icon icon that will state This appointment will recur every X week(s). X will equal your specified week frequency. Click Create Appointment as you normally do, and the appointments will then be pre-scheduled for the next year. In the daily appointment view the appointments are now denoted with a recurring icon that looks like this:

Editing Recurring Appointments

Editing of recurring appointments is very flexible as well. By clicking the Edit Appointments tab and selecting a date that contains a recurring appointment, you will now see the same recurring icon shown above next to the time of the appointment. It looks something like: recur4. Click this appointment and the edit screen will open. You will notice that recurring appointments have a new header (shown below).

By clicking the Apply to all box in the header above, it will allow you to apply the appointment changes to all future appointments. That means if you need to change the time, service being performed, or appointment notes, you can easily apply these changes to all future appointments. One thing to note, if you make a change to the date of a recurring appointment, it will not change the date of all future appointment, just the one your working with. If you only want to make changes to one appointment, simply do not check the Apply to all box and your changes will only be made on the appointment you are working with.

Deleting Recurring Appointments

You delete a recurring appointment just like you would a regular appointment. Click the Edit Appointments screen, click on the appointment you would like to delete, and click Delete this Appointment button. Just like editing, you can choose to delete all future appointments in a recurring set, or just the one your working with. The delete appointment confirmation box now looks like this:

To delete all future appointments that are a part of this recurring set simply click the Delete all future recurring appts. and then click Delete This Appointment. All future appointment will be deleted. To delete just the appointment youve selected just leave the Delete all future recurring appts. unchecked.

Other Updates

Service Prices

In the past, all appointment prices were based on the service being performed. This is still the case, however there is one major improvement weve implemented that will allow you to override a service price, and enter in another price of your choosing. This is useful for giving your client a discount (but still tracking the amount your charged) or if you charge your long standing clients a different price than new clients.

In our last update, we added the ability to see how much a service cost to the main scheduling screen. To override this price, simply click on the price from the main Scheduling Screen and it will transform into an input box where you can type your new service price and click save:

New Appointment Notes

Weve overhauled the appointment notes feature from the ground up. To see or add any notes for a particular appointment simply click the + Show Notes or Add Notes link found underneath the appointment name (see below):

To edit a note from the Main Scheduling Screen simply hover your mouse over the comment bubble and you will see the edit button appear at the end of the note. Click this button and the note will transform into a text input box. Type your new note and click Save Note (see below):

Client Filter

Based on the incredible feedback we’ve received from our users, we’ve rolled out some new features we wanted you to know about.  The first of these new features you will find on the Clients Page.  As your client list grows it can get difficult to find a client your looking for.  This is why we’ve added the “Client Filter”, a great new way of filtering for a specific client.  The new client list looks like this:

To perform a client filter, simply select from the drop down what you would like to filter on.  The options available are First Name, Last Name, Email, Phone, and All.  After selecting how you would like to filter, start typing what you’re looking for in the client filter box.  The search results will appear below the client filter.  We believe this feature will make it much easier to work with your client list as it grows.

Service Lengths

Another highly requested feature was the ability to set a length for each service.  We’ve now added this feature and you can find it on the Add Service and Edit Service screens.  When adding a new service the screen now looks like this:

Note, if you have already added services to the system, you can edit these services to add a service length by clicking on the service, then clicking the ‘Edit Service” button.  Select a service length from the drop down menu and click “Save Changes”.   The system will now take these service lengths into consideration when creating appointments via the scheduling screen.  Also, when viewing the daily schedule on the main scheduling screen you can see how long a particular service is, so you know when your next available appointment is.  The new screen looks like this:

Notice under the appointment time, you can see the service length.  In the above case, we have an appointment at 5:00 pm that is 1 hour.  We know then we can’t schedule an appointment until 6 pm or the system will let you know there is a booking conflict.  You can still override these conflicts by clicking “Go ahead” on the conflict alert box.  Also, you should know that service lengths are not a required field.  If you do not input a service length the system will use your “Default Appointment Length” found on the settings page.

We have also pushed out a few new changes to the Pencil’em Mobile platform including improved booking conflicts notification based on service lengths.

Once again we would like to thank our users for their input as these next new features are a direct result of their feedback.  Today we rolled out Client Quickview & Notes, a feature that allows you to take specific notes related to a client, and then utilize these notes from the main scheduling screen.  The idea here is that you can enter notes about a client, something you might want to know for their next appointment, or all upcoming appointment, and then easily see these notes from the main scheduling screen.

To get started using this feature, navigate yourself to the “Clients” page.  Click on a client from your client list.  You will now notice a new button called “notes”.

Click this button and you will see a popup where you will be able to enter in your client notes.  These notes are just for yourself, so feel free to put anything here you need to keep track of your clients and their preferences.  Other ways to use this field could be to keep color formulas, preferences, etc..

Click “Save Notes” and you will get a “Saved” confirmation.  You have now saved your note and can click “Close” to close this window.  Now that you are taking notes about your clients, your going to need an easy way to view this information.  This is where “Client Quickview” can help you.  Navigate yourself back to the main Scheduling screen.  Select a day from the date picker that you know has a client that you have taken notes for.  Notice now on the right hand side of the screen, there are little contact book icons next to each booked appointment.

Clicking this icon will launch the “Client Quickview” dialog box.  This is going to give you all phone numbers on file for the client, as well as any notes you may have taken about your client.  Check these before each appointment to give yourself a reminder about each client and their past appointments.
